LHH is proactively seeking an organized, people-focused, and detail-oriented HR Onboarding Specialist to support one of our clients on a contract basis in the Houston area. This role is responsible for coordinating the onboarding process, ensuring a positive new hire experience, maintaining HR records, and supporting compliance and administrative HR functions.

Pay Rate: $24.00 - $32.00/hr (DOE)

Role Summary
As an HR Onboarding Specialist, you will play a critical role in creating a seamless transition for new employees joining the organization. You will coordinate onboarding activities, manage pre-employment processes, ensure compliance with company policies, and partner with HR and hiring managers to deliver an exceptional employee experience. This role is ideal for someone who enjoys working with people, managing details, and ensuring operational excellence within the HR function.

Key Responsibilities
New Hire Onboarding
  • Coordinate and facilitate the onboarding process for new employees.
  • Prepare and distribute offer-related and onboarding documentation.
  • Ensure completion of all pre-employment requirements, including background checks and employment verification.
  • Schedule and conduct new hire orientation sessions.
Employee Experience
  • Serve as the primary point of contact for new hires during the onboarding process.
  • Provide timely communication regarding onboarding timelines and requirements.
  • Answer employee questions related to onboarding, benefits enrollment, and company policies.
  • Support initiatives that enhance employee engagement and retention.
HR Administration
  • Maintain accurate employee records and personnel files.
  • Process new hire information within HRIS systems.
  • Assist with employment documentation, policy acknowledgments, and compliance records.
  • Support HR reporting and data management activities.
Compliance & Documentation
  • Ensure completion and accuracy of I-9 documentation and employment eligibility verification.
  • Monitor compliance with federal, state, and company onboarding requirements.
  • Maintain confidentiality of employee information.
  • Assist with HR audits and documentation reviews as needed.
Cross-Functional Coordination
  • Partner with hiring managers, recruiters, payroll, IT, and facilities teams to ensure successful employee onboarding.
  • Coordinate workstation setup, system access, equipment requests, and onboarding logistics.
  • Track onboarding progress and communicate status updates to stakeholders.
  • Support offboarding and employee transition processes when needed.
HR Project Support
  • Assist with HR initiatives, process improvements, and special projects.
  • Identify opportunities to enhance onboarding efficiency and employee satisfaction.
  • Update onboarding materials, procedures, and training resources.
  • Support other HR functions as business needs require.
Qualifications
Education
  • Bachelor's degree in Human Resources, Business Administration, or a related field preferred.
  • Equivalent HR experience will be considered.
Experience
  • 2-4+ years of experience in Human Resources, Onboarding, Recruiting Coordination, or HR Administration.
  • Experience managing employee onboarding processes preferred.
  • Familiarity with HR compliance and employment documentation requirements.
Technical Skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Experience with Human Resources Information Systems (HRIS).
  • Familiarity with Applicant Tracking Systems (ATS) and onboarding platforms preferred.
  • Strong data entry and record management skills.
